President: Oversee all meetings and actions of the Committee, act with full power and prerogatives and call special meetings with the Committee in accordance with the Constitution. Make decisions regarding personnel, work with Committee Members or general Members delegating work and restructuring Committee Members' roles to better facilitate the Clubs' needs. This may include asking that a Committee Member take on additional work or, if necessary, be relieved of specific duties. Act as Chairperson for all Club Meetings. Have the deciding vote in the event of a tie. Aid in coordinating all events to be held by the Club. Act as mediator for any disputes. Have a comprehensive knowledge of rat and mouse care, breeding practises and Show Standards. Vice President: Assume all duties mentioned above in the absence of the President. If the office of President becomes vacant, the Vice President shall assume all duties of the President and a provisional Vice President shall be appointed for the remainder of the office term. Act as a liaison for new Members and visitors at all NSWFRMC shows. Aid in co-ordination of events, and filling in where needed. Have a wide knowledge of rats and mice. Treasurer: Responsible for the custody of the books, records, accounts and securities of the Club other than the minute books and the Register of Members. Be responsible for managing all funds associated with the NSWFRMC. Ensure that all money due to the Club is received or collected, and that all bills authorised by the Committee are made. Maintain accurate records showing the financial affairs of the Club, including the full details of all receipts and expenditure connected with the activities of the Club. These records are to be available for inspection by the Members of the Committee upon reasonable notice of seven (7) days to the Treasurer. Secretary: Keeps records of all NSWFRMC meetings, the names of the Committee Members present at a Committee meeting, summarise each meeting, and supply a copy of the minutes to each Committee Member if requested. Ensure that the minutes of proceedings at a meeting shall be signed by the Chairperson of the meeting or by the Chairperson of the next succeeding meeting. Keep a record of all appointments of office-bearers and Members of the Committee. Be responsible for processing all new memberships and membership renewals and keeping an accurate record of such details. Send thank you letters to any organization or club as deemed appropriate by the NSWFRMC. Mail Twitches, the Club Magazine, to all financial Members. Other secretarial duties as required by the Committee. Show Secretary: Collect and sort all entries for each show Categorise the entries and present them to the appropriate judges on the day of the show Collect and balance all money from show entries on day of show. This money and information should then be handed to the Treasurer at the end of the show. Editor / Webmaster: Be responsible for collecting news items, stories of interest, photographs etc., to include in the Twitches magazine and on the Website. Oversee the printing of the magazine and be responsible for forwarding copies to the Secretary for mailing to each financial Member Be in charge of providing information regarding the Club and its' activities via the computer network, including updates of the NSWFRMC Web Site. Provide a monthly Advertising Account reconciliation for all Advertisements placed and monies collected to the Treasurer. |
